Reservations FAQs
May I come early to decorate for my event?
For most rooms, we offer a 1 to 2 hour reduced rate for decorating and setup. Your rental reservation start/end times may be adjusted to allow for decorating beyond the 2 hour reduced rate period.
May I set up the night prior to my event?
If you have a Saturday event (i.e., a wedding, prom, etc.) and would like to decorate/set up on the Friday night before, this will require a separate reservation for the Friday night decorate/setup times.
Will tables and chairs be set up and taken down for me?
Yes. Prior to your reservation, BSRI will contract with an outside crew to setup/ breakdown/clean your event. Tables and chairs will be set up based on the layout you select during your reservation process. Please specify in the “Event Details” section of your reservation if you have any requests for additions and/or deletions to the selected room layout.
Do you offer any kind of Non-Profit discount?
Unfortunately, we cannot offer discounts at this time. Income from the rental of BSRI facilities is crucial to helping meet BSRI’s mission of providing the services and programs that keep our senior participants healthy and safe in their own homes for as long as possible. We appreciate your support of our mission by choosing BSRI facilities for your rental needs
How far in advance do I need to book my reservation?
You may book your event as early as you like, as long as the date and times are available. Availability will vary and will be based on your event details. We require full payment for the reservation at least 14 days prior to the event. If you make your reservation less than 14 days prior to your event, the full rental amount and deposit will be due at the time of the reservation.
May I make changes to my reservation after I have already submitted my deposit?

- Yes, we are happy to edit your reservation depending on availability. To make a change to your reservation, please contact BSRI at (910) 754-2300.
- Please note, your fee for setup/breakdown/cleanup is based on your original entry of “number of guests” attending. Should there be a change in the number of guests attending, please notify BSRI immediately so we can:
a. ensure the correct number of tables and chairs are available for your guests, and
b. adjust your deposit refund to cover any additional setup/breakdown charges.
How do I create a Custom Catering Package?
Under “Catering Package Selection”, select the “Custom Catering Package” option. You will be charged a flat fee to reserve your spot on the caterer’s calendar for the day of your event. The caterer will contact you with the specifics of your catering package and adjust your final catering bill to reflect your agreed upon catering specifications.
May I use my own caterer?
While we highly recommend our approved caterer, Gibbs Catering, you are welcome to use the caterer of your choice for your event. However, due to the nature of our policies and health code requirements, your rental will incur a fee for the services of BSRI’s recommended vendor in overseeing your event’s catering & cleanup process. Please be sure to include the name, address, and phone number of your caterer in the “Event Details” section of your reservation.
May I serve alcohol at my event?
BSRI allows Beer and Wine Only. BSRI must be provided with the name, address, and phone number of your designated Bartender at least one week prior to the event. Your Bartender is required to remain at the Bar, overseeing all alcohol, during the entire event. The renter is responsible for posting a copy of the ABC Permit over the Bar during the entire event, and must adhere to all conditions of the ABC Permit, as well as the BSRI Alcohol Policy as seen here.
